How much space do I get to exhibit my works?
The entire stand you rent is at your disposal. You must remain within the stand space and may not place anything in the aisles.

Can I share my booth with a colleague?
Yes, that is possible. However, your colleague must also be balloted and some special conditions apply, which you can find here: conditions for sharing a stand

Who decides whether my works are used for publicity?
The organization determines which works are placed on the website, on the posters, on the entrance tickets and/or in other expressions. When using images of works, the organization does not charge the artists concerned for this. Discussion about the choices of the organization is not possible.

Can I sell the exhibited artworks?
Yes, that is allowed. In fact, that is the intention. You may address passing visitors with the aim of informing them and stimulating their interest in purchasing. (However, please respect the freedom of the visitors: they must have every opportunity to view the exhibited works in peace.) You may also hand out business cards, art cards and leaflets. And you can also make appointments for follow-up contact by e-mail, at the interested parties' homes, at your studio or workshop, or in some other way. We advise you to do the latter: you can then devote your attention to other interested parties during the fair and later show your works to the interested parties in your studio in peace.

If someone wants to buy my work, how can it be paid for?
That is up to you. The most common is that the buyer pays you the full purchase price and you immediately give the work.
But you can also agree that the buyer makes a down payment and then pays the remaining amount upon delivery of the work. At BiAF, the organization has a pin machine. Under predetermined conditions, the organization collects the pinned purchase price for you and then transfers the full purchase price, minus administration costs, to your account.

Do I have to be present at BiAF myself?
Yes, you are expected to be present yourself. Only in case of illness or another urgent reason can you be represented and you can also leave your works unattended. But it is wise to be with your exhibited works. Then you can explain your work and you have the best chance of selling and making follow-up appointments.

Do I have to come and bring and collect my artworks myself?
No, that is not necessary. You may have anyone bring and collect your works, provided that this is done within the times set for collection and removal. We do recommend that you set up your own stand. After all, you then decide for yourself how your works will be hung or placed.

When do I have to bring and collect my works?
Participants in BiAF will be informed in due time about the date and time of the event.

Will my works be insured?
If you indicate when you register that you want to insure your works, yes. The policy conditions apply.

I made a mistake in my registration. How can I fix it?
Send an email to info@biaf.be and state that you have already registered and want to change something.

Can I make any changes or additions after receiving confirmation of my participation?

Can I display (invitation) cards and leaflets in my stand?
In order to keep the fair orderly and clear, the stands are preferably used mainly for the exhibition of the artworks. You can put folders and business cards on a documentation tray that is provided free of charge by the organization.

Can I indicate the selling price of my works?
Yes, you may, in fact, we recommend you to indicate the prices (modestly). You may indicate the prices on a maximum format of 10 (w) x 5 (h) centimeters.

What colour are the walls of the stands?
The (hard) walls of the stands are off-white. This was chosen because most people also have more or less white walls in their living rooms.

Is there a cover for the table? If so, what does it look like?
Yes, with a (rented) table you will receive a plain black cover skirt, which reaches (almost) to the ground on three sides. Only the back remains open (if the table is with the long side towards the audience).

How many visitors are expected?
The publicity is wide-ranging and by engaging a relatively large number of media, the use of posters, leaflets and other information carriers, a relatively large number of visitors are expected.
In addition to a lot of positive publicity, the weather has a major influence on the number of visitors. In cold and bad weather, people prefer to stay home. Under normal (weather) conditions, the organization expects that more than 2,500 art lovers will visit BiAF.

Why do visitors have to pay to enter BiAF?
An entrance fee selects the visitors. Even a small entrance fee makes the difference between passers-by who are not interested in art and art lovers, buyers and collectors who are seriously interested in contemporary art. Incidentally, the participating artists are given the opportunity to let their guests visit BiAF free of charge.

How do visitors know which artists are participating in BiAF?
The artists participating in BiAF are listed on the BiAF website.
At the fair itself, all stands will be provided with the names of the artists and all participating artists will receive badges with their names.

May I be assisted in setting up my stand?
Yes sure, as long as your helper signs in at the reception desk.

How do I attach my artworks in my booth?
Sculptures are placed on the ground or on pedestals of your own. For hanging works, you will be provided with perlon wires. With each perlon wire, you will be provided with two hooks: with the fixed hook, you hang the perlon wire around the top of the stand wall and with the other hook, which is adjustable, you hang the work on the perlon wire. The perlon wires can carry works up to 13 kilos. However, for works that are heavier than 8 kilos, two perlon wires per work are recommended to be on the safe side.

Do I have to pay even if I am on the waiting list?
No, when placed on the waiting list, you do not have to pay any fees.

Is a discount on participation in BiAF possible?
The organization of a professional fair like BiAF with stands with hard walls, lighting per stand, professional promotion and crew, the rent of De Wintertuin, etc., simply involves costs. The contribution of the participating artists to the costs of BiAF is as low as possible. Because not all costs are allocated and the help of volunteers keeps the costs down, the costs are less than 1/3 of the costs of a fair where galleries show their artists. Members of the National Association for Visual Artists (www.NABK.nl) receive an additional discount on the contribution to the costs. No further discount is possible.

When will I receive the free entrance tickets included with my participation in BiAF?
You will receive the entrance tickets approximately 1 month (up to 3 weeks at the latest) before the start of BiAF.

Can I already register for the next BiAF?
Yes, you can, we refer you to register.
